Simple ranch record keeping… is that even a thing?

Ranching is complex. It goes far deeper than numbers on a screen. It is a salt‑of‑the‑earth livelihood built on generations of knowledge, early mornings, and a deep understanding of land and livestock. And while those foundations haven’t changed, today’s ranching world has added another layer: data.

I use Excel for simple ranch record-keeping to support better decision-making because you can’t manage what you don’t measure! I know spreadsheets don’t feel very “cowboy,” but Excel helps me map out scenarios, uncover patterns, and figure out what actually makes sense for the ranch. So today, I want to show you how Excel truly can make ranch record-keeping simple.

Excel Simplifies and Streamlines Piles of Paperwork

My mom is the queen of ranch data.

She keeps calving records, cow ages, notes on individual cows, which bulls were turned out with which groups, summer grazing locations, feed purchases, and feed produced from the land. The list goes on and on.

But her system had one major flaw.

All that valuable information was scattered across three or four notebooks. Sometimes a notebook would go missing. Other times, she knew she had written something down but couldn’t remember where.

That’s when I helped her transition her jumbled notes into a simple Excel system.

Now she has a single master Excel file with multiple spreadsheets inside. All her records live in one place. She can pull it up on her phone while we’re working cows, access it on the computer at home, and print clean records when needed.

Keeping track of data doesn’t have to be complicated. It can be simple. That’s what I love about Excel. There are no fancy fonts, no unnecessary fluff, just clean, basic data management. It really is ranch record-keeping made simple.

Putting Pencil to Paper…. But Better

Ranching is a tight-margin business. Knowing your numbers matters.

You’ve probably heard the phrase “putting pencil to paper.” Excel does exactly that—only with fewer errors and a lot less mental math. With Excel, I can track income and expenses and organize them into categories that actually make sense for our cattle operation.

Using Excel year after year also allows us to spot patterns. Feed, for example, is one of the highest costs cattle producers face. On our family ranch, we use Excel to help balance rations that meet the nutritional needs of the cows without breaking the bank.

Record keeping doesn’t need to be perfect. It doesn’t need to be pretty. It just needs to be functional.

The beauty of Excel is that you can customize your record-keeping to fit the unique needs of your ranch. When your system works for you, better records lead to better decisions.
